Review Task Status

Details about how the review task status appears to task owners and reviewers for projects and independent review tasks.

The review task status depends on the type of review task and the user's review task role. Project review tasks and independent review tasks have different workflows, so the available statuses differ. Task owners see all statuses in the workflow. Reviewers see only the statuses that matter to their work (In Review and Review closed). For reviewers, the status remains Review closed for later workflow steps such as Integrating and Integrated because these steps are not relevant to reviewers. From their point of view, the task status is equivalent to Review closed.

Individual Reviewer Status

Each reviewer also has an individual reviewer status when reviewing a task. Before a reviewer opens the task, the status is Pending. After the reviewer starts working in the task, the status changes to In progress. When the reviewer finishes, they can use Finalize my review, which changes the individual reviewer status to Finalized. If the reviewer makes more changes after finalizing, the status changes back to In progress. If a task owner starts a new review cycle, the individual reviewer status is reset for all reviewers.

Project Review Task Workflow

A Project Review Task can have one of the following workflow statuses: In review, Review closed, Integrating, or Integrated.

Figure 2. Project Review Task Workflow

The following list describes each workflow status:

  • In review - This is the initial status for newly created review tasks. Both reviewers and task owners can edit the task files. Tasks remain with this status until a task owner closes the review using the Close review button, and the task will transition to Review closed.

  • Review closed - Only task owners can edit the task files. The files are read-only for reviewers. Task owners can reopen the task using the Reopen review button, and return it to In review or they can start the integration process to merge the task changes into the original content using the Start integration button, transitioning the task status to Integrating.
    Note:
Only one owner will be able to use the Start integration action to keep the integration responsibility with a single person.
  • Integrating - Only the task owner who started the integration can edit the task files. The files are read-only for all other collaborators. The owner that handles the integration can use Cancel integration to return to Review closed, or finalize the integration and merge the changes into the original project content using the Finish integration button, transitioning the task status to Integrated.

  • Integrated - Task files are read-only for all participants. The status of an integrated project review task can no longer be changed.

Note:
For reviewers, the task status is Review closed when the workflow status is Integrating or Integrated. These steps are not relevant to reviewers, so from their point of view, the task is still in the Review closed status.

Independent Review Task Workflow

An Independent Review Task can have one of the following workflow statuses: In review, Review closed, or Integrated.

Figure 3. Independent Review Task Workflow

The following list describes each workflow status:

  • In review - This is the initial status for newly created review tasks. Both reviewers and task owners can edit the task files. Tasks remain with this status until a task owner closes the review using the Close review button, and the task transitions to Review closed.

  • Review closed - Only task owners can edit the task files. The files are read-only for reviewers. Task owners can reopen the task using the Reopen review button, and return it to In review, or they can mark that they integrated the content of the task using the Mark as integrated button, and the task will transition to Integrated.

  • Integrated - Signals that the content of the task is not needed anymore. Task files are read-only for all participants and the task is visible only to task owners. Using the Mark as not integrated button allows owners to transition the task back to the Review closed.

Note:
For reviewers, the task status remains Review closed when the workflow status is Integrated. This step is not relevant to reviewers, so from their point of view the task is still in the Review closed status.
